Setting up the appointment planner

With the appointment planner, visitors make an appointment online themselves: they choose a service, a day and a time. Here you read where you manage the planner and what you can set.

The appointment planner is a module. Is it not switched on for your website yet? Then ask your website builder to switch it on.

Where do you manage the appointments?

You do the daily work not in the regular admin, but on your own website:

  1. Log in to your website as a webmaster.
  2. Go to the address /beheer/appointment of your website, for example www.example.com/beheer/appointment.
  3. At the top you see the sections Services, Calendars, Appointments and Resources, and on the right Day view and Preferences.

The management page /beheer/appointment with the buttons Services, Calendars, Appointments, Resources, Day view and Preferences

Changing settings

The settings of the planner are in the admin, in the folder Preferences > Appointments. Each setting has its own line there, with a technical name that starts with appt_. The most important ones:

  • appt_org_name, appt_org_address, appt_org_email, appt_org_phone and appt_org_url: the name, address and contact details of your organization. The customer sees them when booking and in the e-mails. If you leave them empty, Xanti uses the details from the general preferences of your website.
  • appt_resource_label and appt_resource_label_plural: what you call the people or rooms with which an appointment is made. The default is Resource and Resources; you can change this to, for example, Therapist and Therapists or Room and Rooms.
  • appt_org_label: the word for your organization, by default Location.
  • appt_weeks_ahead: how many weeks ahead customers can book (default 12).
  • appt_cancel_hours: up to how many hours in advance a customer may move or cancel an appointment themselves (default 24; 0 means always).
  • appt_ask_birthday: 1 if the form asks for the date of birth, 0 if it doesn't.
  • appt_anonymize_days: after how many days the name, e-mail address and phone number of a customer are deleted (default 1; 0 means never).

Do you have a multilingual website? Then write appt_resource_label in English, for example Resource. Xanti then translates the word into the language of the page itself, if that translation exists.
